Payment

Northwoods Velvære Studio is a private-pay therapy practice. A valid credit, debit, HSA, or FSA card is required to be securely kept on file through SimplePractice.

Payment for each session is automatically processed prior to your scheduled appointment using the card on file.

If a payment is declined, you will be notified as soon as possible. Payment must be successfully processed before services can be provided. If payment cannot be completed before your appointment, your session may need to be rescheduled until payment has been resolved.

By scheduling an appointment, you authorize Northwoods Velvære Studio to charge the card on file for scheduled therapy sessions, applicable cancellation fees, and any outstanding balances in accordance with these policies.

Fees

Individual Therapy Services

  • Initial Intake Session (75 minutes): $285

  • Individual Therapy Session (75 minutes): $175

Limited reduced-fee appointments may be available based on clinical need and practice availability.

Insurance

Northwoods Velvære Studio does not bill insurance directly.

If your insurance plan includes out-of-network benefits, a superbill may be provided upon request for possible reimbursement. Reimbursement is not guaranteed and depends on your individual insurance plan.

Clients seeking to use insurance may be eligible for services through Headway, depending on insurance participation and availability.

Good Faith Estimate

Under federal law, individuals who are uninsured or who choose not to use insurance have the right to receive a Good Faith Estimate of expected healthcare costs.

A Good Faith Estimate will be provided during the intake process and is available upon request.

Scheduling

Appointments may be scheduled weekly, biweekly, or monthly based on your goals, clinical needs, and clinician availability.

Cancellation Policy

If you need to cancel or reschedule an appointment, please provide at least 24 hours' notice.

Appointments canceled with less than 24 hours' notice, as well as missed appointments (no-shows), will be charged an $85 cancellation fee. The cancellation fee will be charged to the card on file.

Declined or Outstanding Payments

If a payment or cancellation fee is declined, you will be notified and given the opportunity to update your payment information.

Any outstanding balance must be paid before future appointments can be confirmed or services resumed. Northwoods Velvære Studio reserves the right to postpone or cancel appointments until payment has been successfully processed.

Confidentiality

Your privacy is important. All therapy sessions are confidential within the limits of applicable state and federal law.

Information will only be released with your written authorization unless disclosure is required by law, including situations involving:

  • Risk of harm to yourself or others

  • Suspected abuse or neglect of a child, vulnerable adult, or dependent person

  • Court orders or other legal requirements
